FAQ’s for Nominators & Program Directors of FON Awards Recipients

The following FAQ’s have been compiled for Nominators and Program Directors of FON award recipients. If you have additional questions, please contact the FON Scholarship Co-Coordinator at:  fon-scholarships@naeoptrio.org

This information is current as of July 2025

  • How and when do recipients receive their award money?

A check for the recipient’s award will be presented, along with a certificate, at the TRIO Achievers luncheon. The check is made out to the recipient using the name provided on their scholarship/award application. If a recipient is unable to receive their award in person, their certificate and check will be mailed to them at the address provided on their scholarship/award application. This is usually done within a week after the luncheon.

  • Does the recipient need to prepare an acceptance speech?

Yes. At the end of this document are guidelines for acceptance speeches. If the recipient is unable to attend the TRIO Achievers Luncheon to receive their award, we ask them to provide us with a video acceptance speech that we can play at the luncheon. This information that a video will be provided should accompany the recipient’s RSVP. Videos must be submitted by Sept 4th to the FON Scholarship Committee email address:  fon-scholarships@naeoptrio.org

  • Can a recipient’s nominator or project director read their recipient’s acceptance speech in place of providing a video?

Yes. The nominator or project director may read their recipient’s acceptance speech in place of a video. Please note that videos prepared by the recipients are preferred so luncheon attendees (which also includes scholarship donors) are able to see and hear the person speaking.

  • What are the guidelines for acceptance speeches?

Guidelines for a recipient preparing their in-person acceptance speech or video acceptance speech:

Limit to 2-3 minutes

First and last name

TRIO program

Host institution

Thank you for the specific scholarship being awarded and the Friends of NAEOP (pronounced nay-op)

A little about yourself, your story

What your educational plans and future goals are

OPTIONAL:  At the end of your speech or video say, “TRIO WORKS!”

If the recipient is unable to attend the TRIO Achievers Luncheon to accept their award in person, we have set a deadline of Sept 1st for videos to be submitted to this email address:  fon-scholarships@naeoptrio.org

  • What are the guidelines for the requested recipient’s photo?

Photos of the recipient are requested mainly for use on our FON webpages and for the PowerPoint presentation played at the luncheon. These are some general guidelines for the requested photo:

Photo should be a high quality digital photo

Photo should be taken by another person and not a selfie

Please do not wear any headwear (i.e., earphones, hats, sunglasses), or use unnatural filters (i.e., Snapchat filters)

Photo should be of high-quality, not blurry or pixelated

Photo should not include any other individuals (with the exception of the scholarship applicant’s children)

Please no cropped group photos

Please do not use a photo of a printed picture

  • Who is responsible for making travel arrangements for a recipient to attend the TRIO Achievers Luncheon?

The nominating program is responsible for the travel arrangements for their recipient to and from the luncheon location. They are also responsible for any costs associated with that travel.

  • If the recipient needs to stay at the conference hotel in order to attend the TRIO Achievers Luncheon, who makes those arrangements?

The nominating program is responsible for making hotel reservations and guaranteeing them with a credit card. Reimbursement for the hotel room will be made at the conference by the FON Chair. If paying in advance creates a hardship, please contact the FON Chair for assistance at fon-chair@naeoptrio.org.

  • Who is responsible for providing luncheon RSVPs for recipients?

The nominating program is responsible for ensuring that the FON Scholarship Coordinator receives their recipient’s RSVP for the luncheon via Google Form. If they will be attending, dietary requirements must be provided.

  • Who pays for the recipient’s luncheon ticket? Is the recipient allowed to bring guests to the luncheon?

The Friends of NAEOP provides a complementary luncheon ticket for each recipient and up to one (1) guest. The information for the guest must be provided when the RSVP is made. Dietary requirements must also be provided for the guest.

Additional guests may attend but they will need to purchase their luncheon tickets through the NAEOP Conference registration webpage.

NOTE:  For TRIO staff attending the conference, the cost of the luncheon is included in the conference registration. If TRIO staff are only going to attend the luncheon, they will need to purchase tickets through the NAEOP registration webpage.

  • How do recipients receive their luncheon tickets?

Luncheon tickets are held at the conference registration table. Either the recipient may pick up their ticket (and their guest’s ticket) or their nominator or program director may pick them up and deliver them to the recipient.

  • How will the recipient know where the luncheon is being held?

The nominating program is responsible for getting this information from the NAEOP Conference Committee and ensuring it is passed on to their recipient attending the luncheon. In the past, these are some questions asked by recipients about the luncheon:

The address and phone number of the conference hotel.

Parking location and whether there is a cost to park.

Where the NAEOP Conference Information Table can be found.

The room name and location of the luncheon.

The recipient or TRIO accompanying staff should secure seats for their group at one of the reserved tables in the front of the luncheon room.

  • If a TRIO program is unable to cover the cost of their recipient needing to stay at the conference hotel in order to attend the luncheon, can the Friends of NAEOP help cover the cost?

Yes, on a case by case basis and if funding is available. Only one night’s stay can be reimbursed. A reimbursement request with the hotel receipt must be sent to the Friends of NAEOP Committee Chair at fon-chair@naeoptrio.org. (See additional information below.)

ADDITIONAL INFORMATION:
